Privacy Policy

1. Who TechAide is

TechAide is a business software service for plumbing, HVAC, and other field-service organizations. It helps subscribing organizations give technicians and administrators access to job context, company service history, approved procedures, reference material, messaging, and AI-assisted guidance.

TechAide is operated by AskTechAide, Inc., a Delaware corporation. Its website is https://jointechaide.com.

2. Scope

This Privacy Policy describes information handled through the TechAide website, authenticated web application, technician messaging channels, onboarding flows, connected business-system features, and related support interactions. It does not govern a customer organization’s independent practices or a third-party service used under that third party’s own terms.

3. Information we collect

Depending on the features a customer organization uses, TechAide may process:

  • Account and business contact information, including account email, profile name, company affiliation, authentication records, and company role.
  • Company and team information, including company name, trade specialties, memberships, invitations, technician records, work email addresses, phone numbers, assignments, crews, and access status.
  • Customer, job, and service information, including customer names and contact details, service-location names and addresses, work orders, jobs, visits, reported issues, notes, completion details, materials, services, and follow-up information.
  • Equipment and service history, including equipment identifiers, manufacturer, model, serial number, prior observations, diagnoses, work performed, outcomes, and source provenance.
  • Message and submitted content, including inbound and outbound RCS, SMS, or MMS messages; technician-submitted text; onboarding responses; questions; corrections; and message delivery status.
  • Photos, media, and dictated content, including job-related images and attachments, image-derived observations, voice recordings while they are being transcribed, transcripts during processing, and technician-reviewed structured drafts.
  • Company and reference knowledge, including uploaded or imported company procedures and service records, approved company history, OEM documentation, and records of the evidence used for search or an answer.
  • Billing information, including subscription status, plan and capacity information, billing customer and transaction references, invoice/payment status, and billing-operation records. Payment details entered on Stripe-hosted pages are handled by Stripe rather than entered directly into TechAide.
  • Technical, security, and audit information, including session information, request and operation identifiers, timestamps, feature and processing states, safe error codes, access and administrative events, provider delivery events, and security-relevant activity.
  • Support communications, if a support channel is made available and you choose to contact TechAide, including the information you provide in that communication.

4. How we collect information

TechAide receives information:

  • directly from account holders, company administrators, technicians, and other authorized users;
  • through technician RCS, SMS, or MMS conversations and field onboarding;
  • through uploads, forms, dictated input, photos, searches, and other product interactions;
  • from customer-selected business systems and imported files, including supported Service Fusion and QuickBooks workflows; and
  • automatically as the service authenticates users, processes requests, protects accounts, records audits, measures service operation, and communicates with enabled providers.

5. Cookies and browser storage

TechAide uses authentication and session cookies that are required to authenticate users and maintain secure application sessions. TechAide does not state a fixed cookie-retention period in this Policy.

Some product surfaces may use browser session storage for temporary local product state, such as bounded unsent input. Session storage remains local to the browser and normally ends with the browser session according to browser behavior. The current product does not use browser local storage, and no advertising-cookie or behavioral-advertising implementation was found in the current product.

6. How we use information

TechAide uses information to:

  • provide, maintain, and secure the service;
  • authenticate users, administer companies, memberships, roles, and invitations, and enforce authorized access;
  • deliver technician messaging, job assistance, company-history search, evidence links, reference guidance, and administrative workflows;
  • process messages, photos, dictated content, imports, and connected-system data;
  • create and maintain each customer organization’s private Company Brain and governed service history;
  • generate and evaluate AI-assisted answers, summaries, structured observations, and other requested assistance;
  • operate subscriptions, billing, entitlements, and capacity controls;
  • detect, investigate, and address errors, misuse, security threats, and access or data-integrity issues;
  • improve service reliability and user experience using operational information; and
  • comply with applicable legal obligations and enforce agreements.

TechAide does not use one customer’s private content to populate another customer’s Company Brain or answer another customer’s questions.

7. AI processing

When an enabled feature calls for AI assistance, TechAide may send bounded job context, questions, dictated audio, photos, company evidence, or reference material to an AI service provider for transcription, extraction, embeddings, image observations, or answer generation. TechAide is designed to retrieve authorized company or governed reference evidence before generating supported answers and to keep customer information tenant-scoped.

AI output can be incomplete, inaccurate, or inappropriate for a particular situation. Users remain responsible for qualified professional judgment, verifying actual field conditions, and following manufacturer instructions, applicable codes and laws, workplace safety rules, lockout/tagout procedures, and required tools and personal protective equipment.

8. Technician messaging

Where enabled, TechAide uses RCS with SMS/MMS fallback to onboard technicians and provide field assistance through a technician’s phone number. Mobile information, message content, attachments, delivery status, opt-out state, and the job context associated with a conversation may be processed to deliver and protect that functionality. Carrier and messaging-provider systems also process messages as needed to route and deliver them.

9. Mobile Information and Messaging Consent

TechAide does not sell mobile phone numbers, messaging opt-in data, or messaging consent. TechAide does not share mobile phone numbers, messaging opt-in data, or messaging consent with third parties or affiliates for their own marketing or promotional purposes.

This restriction does not prevent TechAide from using service providers such as Twilio or carriers as necessary to operate and deliver the messaging service, or from making disclosures required by law.

10. Connected systems and customer data

A subscribing organization may provide or import operational data from its field-service, accounting, or record systems. Current product workflows support authorized Service Fusion connections and selected QuickBooks file import or export processes. TechAide processes that data to provide customer records, job context, company history, search, completion, and related service functions. The subscribing organization decides what authorized business data it supplies and is responsible for its rights and instructions concerning that data.

11. Service providers

TechAide relies on service providers to operate the product. The implemented product uses Supabase for authentication, database, and private file storage; Vercel for application hosting; OpenAI for enabled AI processing; Twilio for enabled RCS/SMS/MMS functionality; Stripe for enabled checkout, subscription, billing-portal, and payment-status workflows; and Mapbox for enabled location-assistance geocoding. A provider processes information only when the related product function is used or activated.

Connected systems selected by a customer, such as Service Fusion or QuickBooks workflows, may also receive or provide information at that customer’s direction. Their independent handling of information is governed by their own terms and policies.

12. How we share information

TechAide may share information:

  • with the subscribing organization and its authorized users according to company roles, assignments, and product permissions;
  • with service providers and connected systems as needed to operate an enabled feature or complete an authorized request;
  • when directed or authorized by the subscribing organization;
  • to protect the service, users, customers, or others; investigate misuse; or enforce applicable agreements; and
  • when required by applicable law, legal process, or a valid governmental request.

TechAide does not claim that information is never shared, because infrastructure and product providers necessarily process information to deliver the service.

13. Sale and targeted advertising

The current product contains no advertising workflow or third-party behavioral advertising integration. TechAide does not sell personal information as defined under applicable U.S. state privacy law.

14. Data retention

TechAide retains information for as long as reasonably necessary to provide and secure the service, maintain source and audit integrity, satisfy the subscribing organization’s authorized instructions, meet legal or contractual obligations, resolve disputes, and enforce agreements. Retention depends on the information type, product state, customer relationship, and applicable requirements. Some transient media or drafts have feature-specific expiration controls, but this policy does not promise a universal deletion period. Backup and provider copies may persist until their normal expiration or deletion process is completed.

15. Security

TechAide uses administrative and technical safeguards designed for the service, including company-scoped access controls, database row-level security, private file storage, short-lived authorized file links, server-side provider credentials, input validation, audit records, and bounded provider requests. No security measure or transmission method is completely secure, and TechAide cannot guarantee absolute security.

16. Business customers and organizational data

With respect to account, billing, and marketing information collected directly from customers and authorized users for AskTechAide’s own business purposes, AskTechAide acts as a business/controller and determines the purposes and means of processing in accordance with this Privacy Policy.

With respect to Customer Data submitted to or through the Service for processing on the customer’s behalf, AskTechAide acts solely as a service provider/processor acting on the customer’s instructions. The applicable Data Processing Addendum, incorporated into the customer agreement, governs allocation of responsibilities for that Customer Data.

17. U.S. privacy rights

Depending on where you live, the nature of the information, and applicable exceptions, you may have rights to request access, correction, deletion, or a portable copy of certain personal information, and to appeal a decision or exercise other rights. These rights do not apply universally and may be handled through the subscribing organization when it controls the relevant data.

To make a request, use the contact information below and identify the company account connected to the information. TechAide may need to verify your identity and authority and may retain limited information where permitted or required by law.

18. Children’s privacy

Our Service is a business tool intended for use by companies and their authorized personnel. It is not directed to, and we do not knowingly collect personal information from, individuals under the age of 18. If we become aware that we have collected personal information from a child under 13 (or under 16 where required by applicable state law), we will take steps to delete that information promptly. If you believe a child has provided us with personal information, please contact us using the information below.

19. International processing

TechAide is currently described as a U.S.-focused business service. Its providers and connected systems may process information in locations determined by their infrastructure and the applicable account configuration. This Policy does not state a data-residency commitment or an international-transfer mechanism.

20. Changes to this Policy

TechAide may update this Privacy Policy as the service, data practices, or legal requirements change. Any additional notice will be provided when required by applicable law or an agreement with the subscribing organization.
